Venue Coordinator Duties
Rotating (may be shared with a co-coordinator)
1) Establish schedule of calls, deadlines, change out dates. Send to President or VP to post on CAS calendar.
2) Draft/Update calls and work with the website manager to ensure that the calls have been scheduled to distribute automatically.
3) Receive submissions. Check the CAS Members Gallery to ensure they are current members. Forward the submission back to the artist as acknowledgement of receipt and so they have a record of what they submitted.
4) Respond to questions.
5) Print labels (template available)
6) Send reminder of Install/Strike two to seven days in advance
7) Arrange for help hanging. Confirm change out with the venue.
8) Install/Strike
9) Take pictures of the new installation and send to the Rotating Exhibit Chair, Social Media Chair and Newsletter Chair with 1-2 sentences.
10) Check in periodically with the venue owner/manager to see if they have any feedback or concerns. At the end of each calendar year, confirm that they wish to continue another year.
11) Keep the Google Doc Profile for the exhibit updated.
Curated
1) Consult with the Venue to select artists (some venues may defer this task to the VC) and establish change out dates
2) Establish schedule of calls, deadlines, change out dates. Send to President or VP to post on CAS calendar.
3) Send limited call for art to the selected artists. Ensure artists know they are responsible for hanging, labelling their art.
4) Schedule through the year
5) Respond to questions
6) Confirm change out with the venue and send reminders to the artists.
It is optional for the VC to be at the change-outs
7) Take pictures or arrange for the artists to send you pictures of the new installation. Send pictures with 1-2 sentence description to the Social Media, Newsletter and Curated Venue Chairs.
